Smartsheet Admin Center: what it can't tell you about who owns a sheet

If you’ve ever tried to answer “who actually owns this sheet, and what happens if they leave,” you’ve probably already found the limit of Smartsheet’s built-in admin tools.

What the Admin Center actually shows you

Smartsheet’s native reports — Sheet Access, Published Items, Event Reporting — are genuinely useful for what they’re built to do: who a sheet is shared with, and when it was last touched. That’s a real, working feature set.

What it doesn’t show you:

• Who actually owns a sheet, versus who happens to have access to it
• Why a sheet exists, or what business process it supports
• Whether it’s still load-bearing, or quietly abandoned

Admins on Smartsheet’s own community forum have said this plainly: there’s no built-in way to see all the sheets in an org and who owns each one — something an administrator would reasonably expect to have.

Why this becomes a problem at scale

At a handful of sheets, this doesn’t matter — you just ask around. At a few hundred or a few thousand sheets, “just ask around” stops working. Two failure modes show up over and over:

Sprawl outpaces governance. Usage grows org-wide long before anyone builds a system to track who’s building what, or why.

Ownership disappears with the person. An owner leaves, and the sheet — along with whatever business process depends on it — becomes an orphan. Nobody notices until something breaks.
